About the Role

I am looking for a detail-oriented, reliable Virtual Assistant to support ongoing administrative, marketing, and operational tasks for a creative, service-based business in the wedding and design industry. This role is ideal for someone who enjoys structured tasks, working independently, and supporting a growing brand behind the scenes. The role is open to someone looking for a long-term position with an increase in hours over time.


Monthly & Ongoing Tasks

  • Complete end-of-month reporting, including:
    • Social media analytics
    • Lead tracking analytics
    • Google Analytics
  • Simple expense tracking
  • Generate blog post drafts using ChatGPT and a provided template
  • Participate in one check-in call per month to review tasks and priorities


Future Responsibilities

  • Upload and format blog posts on the website
  • Basic bookkeeping tasks in QuickBooks
  • Create estimates and invoices in QuickBooks
  • Purchase supplies and materials as directed
  • Draft and send emails using provided guidelines and templates
  • Other tasks as needed


Tools You’ll Use

  • Google Workspace (Docs, Sheets, Drive)
  • HubSpot
  • Instagram
  • ChatGPT
  • Project management and communication tools (to be shared during onboarding)


Qualifications

  • Previous or ongoing experience as a Virtual Assistant or similar role
  • Pursuing or holding a business-related degree (appreciated but not required)
  • Comfortable working in a contract-based, remote role, with documented processes


Skills & Attributes

  • Strong organization and time-management skills
  • High attention to detail and accuracy
  • Trustworthy and able to handle sensitive business information
  • Clear and professional communication skills
  • Ability to work independently and meet deadlines
  • Bookkeeping experience and familiarity with QuickBooks is a plus
  • Experience using the above tools (appreciated but not required)
  • Basic understanding of marketing and analytics is a plus
  • Ability to maintain confidentiality and professionalism at all times


Onboarding & Support

  • Training videos and written instructions will be provided for all tasks
  • Clear expectations and timelines will be outlined monthly
  • Ongoing feedback and process improvements are welcome
